For parts suppliers

Distributors and wholesalers: list your whole trade book on Easy Auto

Updated

The quick answer

Send Easy Auto the trade book or stock export you already produce, however large. We map it once: your stock codes become warehouses, your brand spellings are cleaned to ours, and your prices are read in AED, USD or EUR with your trade discount applied. Every new file you send loads through the same mapping, and the parts in it become stock our WhatsApp desk and website sell to UAE drivers and garages. As of 3 November 2026, 7 suppliers send us files, holding 91,328 current lines across 292 brands, in files from 171 lines to 29,672.

Key facts

  • 7 suppliers send stock files today, holding 91,328 current lines across 292 brands (3 November 2026). The largest single file holds 29,672 lines; the smallest, 171.
  • Each warehouse or stock code in your file becomes a location with its own readiness time, so one-day stock and three-day stock are offered differently.
  • Prices are read in AED, USD or EUR, before or including VAT, with a trade discount taken from a column or applied at one fixed rate.
  • Your trade prices are never published. Customers see Easy Auto's retail price and pay Easy Auto.
  • A line that leaves your file is marked unavailable, never deleted, and returns the day it reappears.
  • A very large book can be sent in parts, such as one brand group or one warehouse to start with.
  • Payment, invoicing, minimum orders, delivery and returns are agreed with each supplier before the first order.

What listing a trade book means

A trade book is the full list an importer or distributor sells from: every line it carries, coded by warehouse, priced for the trade, often in more than one currency and with discounts that differ by customer. Listing it on Easy Auto means sending us the export of that book as it already exists. We read it once with you, save the way it reads, and from then on the lines in it are stock our WhatsApp desk and website can offer to UAE drivers and garages. When a customer pays for one of your parts, we order it from you at your price.

Why a distributor lists with a retailer

A distributor's trade counter serves garages and shops that already know what they want. The customers who come to Easy Auto mostly do not: they have a car, a broken part and a WhatsApp message. We do the work of turning that into a part number, then look for it in the books we hold. A trade book on Easy Auto puts your range in front of retail demand without you building a retail operation.

Without your book, we can only reach your stock by asking. Between 7 October and 2 November 2026 our sourcing desk sent 488 part-by-part messages to 52 suppliers. A distributor whose book we hold is not asked at all for the parts in it: the part is priced from the book and ordered when the customer pays.

Retail through us also changes who you deal with. The customer's questions, the payment, the delivery updates and the after-sales stay with Easy Auto. You deal with one buyer that orders by part number, brand, quantity, price and location, instead of a stream of drivers asking what fits their car.

How a large book is loaded, step by step

First, you send the book. Under 4 MB it goes on the upload form; above that, paste a download link on the form or email it to hello@easyauto.ae. Add a note saying what your stock codes mean, which currency the prices are in, whether they include VAT, and how often the export changes.

Second, a person checks the file and contacts you. Nothing goes live until that conversation has happened, because it is where the terms are agreed: how orders reach you, collection or delivery, minimum order, price basis, invoicing, payment and returns.

Third, the book is mapped. Your columns are pointed at ours; each stock code is given a location and a readiness time; each brand spelling is matched to our brand list, keeping the genuine flag where the spelling says genuine; the currency and the discount rule are set; and if your system prints one quantity column per warehouse, each of those columns is tied to its warehouse. The mapping is saved.

Fourth, the book loads through the mapping. Lines that cannot be sold safely are set aside with the reason recorded, rather than guessed. Across 17 loads of supplier files between 14 September 2026 and 29 October 2026, 172,634 rows were read and 60 were set aside.

Fifth, every later export in the same layout loads the same way, as often as you send it. The mapping only needs a person again when a column we read is renamed or removed, a new stock code appears, or a brand spelling we have not met before turns up.

What a trade book usually contains, and how we read it

Trade books differ from one importer to the next, but the same handful of features come up again and again. None of them needs changing before you send the file; the mapping takes each one as it is.

Stock codes as locations, and how ready a part is

A distributor's stock code usually means a place: the main store, a bonded warehouse, a branch in another emirate, goods in transit. Each code you use becomes a location on our side, with a readiness time you agree with us, and every line coded to it is offered with that time. A part in your main store and the same part three days away are therefore two different promises to a customer, and the customer is told the right one.

As of 4 November 2026 the lists we hold are spread across 10 locations. Of the active offers built from them, 56,895 are ready in 1 day, 14,490 in 2 days, 14,003 in 3 days, and 24 take 4 days or more. A code we have not been told about is set aside rather than given a guessed readiness time, so tell us when you open a new store or start using a new code.

Book sizes we already read

The 7 supplier files we hold today range from 171 lines to 29,672, and together they make up the 91,328 current lines. The same reader and the same mapping rules handle all of them: a short list is not treated as less serious, and a long one is not simplified to fit.

Size matters in two places only. A file over 4 MB cannot go through the upload form and needs a link or an email. And a book far larger than anything retail customers ask for can be sent in parts rather than whole.

Currencies, discounts and the price we pay

Importers price in the currency they buy in, and that is fine. Prices are read in AED, USD or EUR, either from a currency column line by line or as one currency for the whole book. When a line is priced in dollars or euros, the exchange rate used is recorded with that line. A price in any other currency cannot be read and the line is set aside, so convert those lines before you send them.

Trade discounts are read the way trade books write them. A discount column can hold 20, 20% or 0.2 and all three mean twenty per cent off the price beside it; or, if your book carries list prices and you give us one rate, that rate is applied to every line. Your price after the discount is what Easy Auto pays you when it orders. Tell us once whether your prices include VAT, and give your tax registration number if you are VAT registered.

Minimum order quantities, boxes and stock bands

Trade books are written for trade buyers, so they often sell in boxes, sets or above a minimum. Minimums are agreed as part of your terms before the first order, and a quantity column counted in sets is recorded as sets, so two pairs of discs are offered as two pairs. If your book only says whether a line is in stock, the quantity column is read as In and Out instead of a count.

Some distributors do not publish exact stock to the trade, and show a band such as >20 or 20+ instead. Those bands are read as the number in them, so a line showing >20 is offered as twenty available. If your book shows bands, say so in your note so the mapping is set up that way from the start.

Large books, sent in parts

Some books are very large, and some contain far more than a retail customer will ever ask for. You do not have to send all of it at once: a book can be sent in parts, starting with the brand groups, warehouses or price bands closest to what UAE customers ask for, and you can widen what you send later.

Tell us how your book is organised when you send it. If you already know which parts sell to retail, start with those. Each way of cutting a book has a cost as well as a benefit, and the table sets them side by side.

Keeping a big book current

Send a new export whenever it changes, as often as daily. It loads through the saved mapping. Send the whole book each time, or the whole part of it you chose to send: a line that disappears from your new export is marked unavailable, so a file of changes alone would switch off everything it leaves out. Marked unavailable is never deleted, and a line comes back the day it reappears. For books exported before the day's deliveries are booked in, we can instead keep a missing line for three days before marking it unavailable.

If your system renames or drops a column we read, the load stops rather than guessing, the stock from your last good file stays live, and we re-map with you. A book that arrives every day is treated as stale after three days without a new copy; a list sent by hand, after thirty. Stale prices are shown as stale and are not sold online until the next file loads.

Your prices and your brand

Your trade prices are never published. The customer sees Easy Auto's price, which our pricing rules set from yours, and does not see which supplier a part comes from. Your price is what we pay you when we order.

That matters to a distributor in a way it does not to a single shop, because a distributor's trade customers are also its market. Your name is not shown with the parts we sell, so nothing a customer sees ties a price to your book. What the public sees is a part, a brand and Easy Auto's price.

Terms agreed with you before the first order

Payment terms, invoicing, VAT basis, minimum orders, delivery and returns are agreed with you before the first order and recorded on our side, as they are for every supplier. Nothing is assumed from another supplier's terms, and sending your book on the form commits you to nothing. We also record how you confirm an order, so the person ordering knows what to wait for.

How to choose a way in, by the size of your book

Rules that apply to an importer's book

Two sets of UAE rules bear directly on a distributor's trade book: the conformity scheme for spare parts, and the move to electronic invoicing between businesses. Both are set out here as they were written when read on 4 November 2026.

Cabinet Resolution No. 12 of 2018, the UAE Scheme for Automotive Spare Parts, in force since 1 May 2018, counts importers, agents, storage companies and main or sub-distributors as suppliers. A supplier must obtain a conformity certificate before offering any part type listed in the resolution's schedule, and offering includes selling, storing, marketing and promoting. A listed part may not be imported or put on the market unless it is registered under ECAS and has a conformity certificate; for genuine parts, the manufacturer's test report and declaration of conformity are accepted. The Ministry of Industry and Advanced Technology now issues these certificates.

The schedule covers general spare parts requirements, braking systems, brake pads, engine radiators, safety belts, rear-view mirrors, lead-acid starter batteries, oil filters, air filters, laminated safety glass, rims, door locks and hinges, retro-reflectors, alarm systems for commercial buses and vehicles, and relays and flashers.

Electronic invoicing is the second change. A business with revenue of AED 50 million or more had to appoint an accredited service provider by 30 October 2026 and must issue e-invoices from 1 January 2027; a business with revenue under AED 50 million must appoint one by 31 March 2027 and start by 1 July 2027. Sales to garages and other businesses are in scope; sales to private individuals are not, until the Minister decides otherwise. A PDF, a scan or an emailed invoice is not an e-invoice under the UAE system.

This section is a summary of the law for orientation, not legal advice: the rules are in Cabinet Resolution No. 12 of 2018 on the UAE Legislation Portal, on the Ministry of Industry and Advanced Technology's conformity certificate page, and in the Ministry of Finance's decisions No. 244 of 2025 and No. 66 of 2026 on electronic invoicing.

Getting started

Send the book on the upload form if it is under 4 MB, or paste a link to it, or email it to hello@easyauto.ae. Add a note about your stock codes and how often the file changes. A person checks it, maps it with you, and agrees the terms before anything goes live.

Send your stock list

No account and no sign-up. A person checks the file and contacts you before anything goes live. Prefer email? Send it to hello@easyauto.ae.

One of the two is enough.

No account, no sign-up, no card.

Questions suppliers ask

Can you take a daily export from our system?
Yes. Send it each day in the same layout and it loads through the saved mapping. A book that arrives daily is treated as stale after three days without a new copy.
Our book is too big to upload. What now?
Paste a download link on the form or email it to hello@easyauto.ae. A very large book can also be sent in parts, starting with the lines closest to what UAE customers ask for.
Do you publish our trade prices?
No. Customers see Easy Auto's retail price and pay Easy Auto. Your price is what we pay you, and it is never shown to customers.
Can we list only part of our range?
Yes. Send only the lines you want sold, such as some brands, warehouses or price bands; the rest stay off the list.
Our prices are in US dollars. Is that a problem?
No. Prices are read in AED, USD or EUR, and the exchange rate used to price each line is recorded with it.
We sell genuine and aftermarket under the same number. How is that handled?
As separate offers. Brand is a required column precisely so a genuine part and an aftermarket part sharing a number are kept apart.
Can our stock codes stay as they are?
Yes. Tell us once what each code means and how soon stock under it is ready. Each becomes a location on our side, and your codes never need renaming.
Our book shows stock as bands such as >20. Does that work?
Yes. A band is read as the number in it, so >20 and 20+ are offered as twenty. Mention it in your note so the mapping is set up for bands.
Can one file cover several warehouses?
Yes, with a stock-code column or one quantity column per warehouse. Each warehouse becomes a location with its own readiness time.
What happens if our system changes the export layout?
If a column we read is renamed or dropped, the load stops instead of guessing. The stock from your last good file stays live while we re-map the new layout with you.
Will customers know the parts come from us?
No. Customers deal only with Easy Auto and are not told which supplier a part comes from. They see the part, its brand and Easy Auto's price.
Do you need our VAT registration number?
If you are VAT registered, yes, along with whether the prices in your book include VAT. Both are recorded once, with your terms.
How are orders sent to us?
By the route agreed with you: WhatsApp, phone or email. Each order names the part number, brand, quantity, your price and the location it is from.
Do the parts in our book need UAE conformity certificates?
Part types in the schedule to Cabinet Resolution No. 12 of 2018, such as brake pads, oil filters, air filters, engine radiators and lead-acid starter batteries, need a conformity certificate before they are offered, and importers and distributors count as suppliers under it. This is a summary for orientation, not legal advice.
Can we send our book without prices first?
Yes. It is kept as ask-first: when a customer wants a part in it, you are asked before anyone is quoted. You can add prices later in the same layout.
